How many times have you received a letter that is addressed to you as Ms if you are a Mrs, or that have spelt your name wrong if you are anything other than a Smith or Jones? It's very frustrating and instantly whoever is writing to you will have to work a hundred times harder to sell their product, or warm their relationship with you. Therefore you should always ensure that if you are contacting a customer, then you know the simple things such as their name and address, and that your database is up to date. If you receive complaint letters than rather than write an impersonal letter back, you could consider going the extra mile and actually calling the customer to discuss their complaint in detail. Sometimes talking to a real person can help resolve a situation that can drag on and on through written communication.
